Workbook setup
Start with records you can verify
- Room-by-room inventory
- Photographs and serial numbers
- Receipts or bank evidence
- Current policy schedule
Working brief
Turn the records into one decision
Purchase price, resale value and replacement cost are different; a useful inventory records current equivalents and evidence for important items.
A family estimates all contents from memory after moving and leaves electronics, clothing and kitchen equipment far below replacement cost.
Use a documented replacement-cost total and review it after major purchases or inflation.
Workbook reference
Define the subject before completing the checks
What it means
Home-contents valuation estimates the current cost of replacing the movable belongings in a home with comparable new items, subject to the policy's valuation basis. It is not the second-hand sale value or the amount originally spent. A credible sum insured comes from a room-by-room inventory that includes ordinary items as well as high-value property and belongings stored outside the main rooms.
South African context
South African contents policies can apply an average clause when the total sum insured is below the replacement value at the time of loss. Theft, power-surge, accidental-damage and away-from-home sections may have separate limits or requirements. Tenants, owners and sectional-title residents still need to identify which belongings are theirs and which fixtures belong elsewhere.
Checklist one
Audit the material facts
Use the same scenario and assumptions for every provider. A heading or marketing label is not enough evidence of cover.
| Comparison factor | What it means here | Evidence to request |
|---|---|---|
| Room inventory | Capture ordinary items as well as obvious valuables | The current disclosure document, policy wording and schedule |
| Replacement basis | Price a current equivalent rather than second-hand value | The current disclosure document, policy wording and schedule |
| Pairs and sets | Understand how partial damage to matched items is treated | The current disclosure document, policy wording and schedule |
| Home-office items | Separate personal and business ownership | The current disclosure document, policy wording and schedule |
| Items away from home | Check portable-possession requirements | The current disclosure document, policy wording and schedule |
Checklist two
Audit the provider response
Write down the provider's answer and where it appears. This makes later review and complaint handling far clearer.
| Policy check | Why it matters | Action to take |
|---|---|---|
| Sum insured | Confirm whether one total or category limits apply | Keep the written answer with the quotation and final schedule. |
| Proof of ownership | Keep invoices photos serial numbers and bank records | Keep the written answer with the quotation and final schedule. |
| Automatic increase | Check indexation and seasonal additions | Keep the written answer with the quotation and final schedule. |
| New purchases | Know when notification or a specified-item update is required | Keep the written answer with the quotation and final schedule. |
| Claims valuation | Ask how age wear and replacement options affect settlement | Record the channel, reference number, deadline and escalation route. |
Completed example
See how the records alter the answer
A hypothetical inventory lists large appliances and furniture at R420,000 but omits clothing, kitchenware, linen, tools, books and items in a garage worth another R180,000. The selected R420,000 sum appears generous until a major loss reveals a R600,000 replacement exposure. Even a smaller accepted claim can be affected if the wording applies average based on the whole-home underinsurance.
